Tixio for logistics | Exception tracking, SOPs and client updates

Ninety percent of shipments need no attention. The other ten percent take the whole day. Tixio gives freight forwarders and 3PLs one place for exception tracking, customs procedures and client updates.

Tixio for logistics | Exception tracking, SOPs and client updates

Ninety percent of your shipments move without anyone touching them. The other ten percent take the whole day.

The record of what you agreed with the carrier at 2am lives in a WhatsApp message on a dispatcher's personal phone, and when the demurrage invoice lands six weeks later nobody can find it.

Tixio is the coordination layer around your TMS: where exceptions get tracked, procedures get written down and clients get answers.

Why logistics operations break down

  • Exceptions have nowhere to live. A rolled booking, a customs hold or a temperature deviation gets handled across three inboxes and one phone call, and the shipment file never records it.
  • The agreement sits on someone's personal phone. Carrier concessions, free time extensions and reroute approvals get agreed in chat apps the company does not own and cannot search.
  • Country and customs knowledge sits in one head. When the person who knows the documentation requirements for a lane takes leave, the lane slows down.
  • Clients ask for status and get an email thread. Every question about where a container is costs a coordinator fifteen minutes of digging.
  • Demurrage disputes turn on evidence nobody kept. The gate photo, the delay notification timestamp and the carrier reply are the whole case, and they are scattered.
  • Warehouse SOPs go stale quietly. The picking procedure gets updated verbally, the printed copy on the wall does not, and the new hire follows the wall.

What Tixio does for logistics and freight teams

Tixio does not move your freight. It holds the work around it: the exception, the file, the procedure, the conversation and the client update.

Tixio Projects: exception and claim tracking that survives the shift change

Tixio Projects gives every exception a record, with custom fields for shipment reference, carrier, lane and client. A delayed container becomes a tracked item instead of a memory.

Recurring tasks cover the work that repeats: the weekly client SLA report, the monthly carrier performance review, the quarterly rate card refresh. Onboarding a new client lane becomes a template, from rate confirmation through to first shipment review.

Kanban for the claims queue, List for the daily exception board, Calendar for cutoffs. Time tracking tells you what exception handling actually costs per client, a number most forwarders have never seen.

Tixio Wiki: so the answer does not depend on one person

Tixio Wiki is where customs procedures, carrier terms, country specific documentation requirements and warehouse SOPs get written once and found by search.

Nested pages structure it by mode, by trade lane, by client. Page level permissions keep commercial rate agreements away from the warehouse floor. Version history means that when someone asks which SOP was in force in March, you can answer.

Chat: an operations channel per client or per lane

Chat replaces the personal WhatsApp group with a channel your company owns.

One channel per client or per lane. Voice messages for the driver who cannot type at the yard gate. Photo evidence of a damaged pallet sitting in the thread instead of in someone's camera roll. Scheduled messages so the shift note you write at 6pm lands at 7am in the destination timezone rather than waking someone.

Threads stop seven live exceptions turning into one unreadable scroll. When something needs a face, Tixio Meetings starts a call from a DM, with recording and AI summary, so the carrier escalation produces notes instead of a vague recollection.

Boards: the start page for a morning shift

Boards is where you put the fourteen links you open every morning: carrier tracking portals, terminal pages, the customs system, client portals.

Add widgets for the day: the exception checklist, a note with today's priority containers, the shared calendar. New coordinators get the ops board on day one and stop asking where things are.

Tixio Connect: give the client the project instead of the email

Tixio Connect lets you share a project, wiki page, board or channel with someone in another workspace.

Share the client's shipment project with the client. They see status changes as they happen and the "any update?" email stops arriving. Your margin notes and carrier conversations stay in your workspace.

Tixio HR: shifts, certifications and the paperwork that expires

Tixio HR is a paid add on covering attendance, leave, contracts and skills tracking.

In logistics that means two things. Knowing who is actually on shift, and knowing which driver certifications, dangerous goods qualifications and licences expire next month, before a customer audit finds out first.

How an operations week runs in Tixio

  1. Monday morning, open the ops board and work the exception list in Projects, filtered to open items with a client SLA at risk.
  2. A container goes on customs hold. Raise an exception task with the shipment reference, attach the document pack, assign an owner, set the due date against the free time deadline.
  3. The broker replies in the client channel. The reply gets attached to the exception, not left in one person's inbox.
  4. Wednesday, a new client lane starts. Duplicate the onboarding template, work the checklist, link the wiki page with that country's documentation requirements.
  5. Thursday, the carrier disputes a demurrage charge. Everything needed is on the task already: the delay notification, the gate photo, the timestamped message where free time was extended.
  6. Friday, the recurring SLA report task fires. Pull the project report, share the client project through Connect, done.
  7. Handover, the night shift reads the channel and the exception list instead of ringing someone at home.

What you can stop paying for

A forty person forwarder or 3PL typically pays for six things: a chat tool, a task tracker, a wiki or a shared drive, a whiteboard, a video tool and a shift or attendance tracker. Bought separately those land between 45 and 60 dollars per user per month once you count the seats nobody audits.

Tixio Team is 9 dollars per user per month, or 6.30 billed yearly. Tixio HR is 5 dollars on top if you need shift attendance and certification tracking. For forty people on the yearly plan with HR that is about 5,400 dollars a year, against roughly 24,000 for the separate stack.

The saving is real. The bigger win is that the exception, the document and the client conversation sit in one place.

Who this is for

Freight forwarders, 3PLs, customs brokerage teams, warehouse operations and in house logistics teams of five to two hundred people who coordinate across shifts, timezones and carriers.

This is probably not for you if what you want is a TMS or a WMS. Tixio does not track shipments, does not do rate management or procurement, does not file customs entries and does not speak EDI. Keep the system that does those jobs. Tixio is the layer around it. If your only real problem is rate benchmarking, buy a rate tool instead.

Getting started

Pick one lane. Put its SOP in Wiki, open a channel for it, and track its exceptions as tasks for two weeks. If the next demurrage dispute takes ten minutes to evidence instead of two days, you have your answer.
